1. Who We Are

Hiking Kilimanjaro Limited is a registered tour operator in the United Republic of Tanzania specializing in Mount Kilimanjaro climbs, safaris, and trekking adventures. All tours and services are organized and operated by Hiking Kilimanjaro Limited.

2. When These Terms Apply

These Terms and Conditions govern the relationship between you (the Client) and Hiking Kilimanjaro Limited (the Company). They apply whenever you book a tour with us directly or through one of our authorized partners.

By confirming a booking, you acknowledge that you have read, understood, and agreed to these Terms and Conditions. They define your rights, responsibilities, and obligations when traveling with us in Tanzania.

3. Our Responsibilities and Standards

We operate legally in Tanzania and hold all required licenses and permits to conduct mountain climbs and safaris. Our guides and staff are trained professionals with experience in trekking, safety procedures, and guest care.

We present our tours honestly in our marketing and do not intentionally misrepresent our services. Some parts of your trip, such as hotel stays and flights, may be provided by third parties. However, we carefully select partners who meet our standards.

We are committed to responsible tourism. This includes fair wages for staff, respect for local communities, environmental protection, and adherence to Tanzanian law.

4. Personal Information

To organize your trip, we must collect personal details such as your full name, passport details, nationality, dietary needs, and relevant medical information.

Some of this information must be shared with park authorities or accommodation providers to secure permits and bookings. Your data is used strictly for trip operations and handled responsibly.

5. Communication

6. Booking and Payment

Your booking begins once your itinerary is agreed upon and a deposit invoice is issued. The tour is confirmed when the deposit is received.

Full payment must be completed at least 14 days before arrival unless agreed otherwise. Delayed payment may lead to cancellation.

Clients are responsible for bank fees and transaction charges. Credit card payments may include a processing fee.

If any balance remains unpaid upon arrival, it must be settled before the tour starts.

Age Limits for Climbs

For safety reasons, climbers must be between 12 and 70 years old. High altitude can place significant stress on the body, and these limits help reduce risk.

Minors

Bookings for anyone under 18 must be made by a parent or legal guardian, who accepts responsibility for the minor during the trip.

7. Pricing

Once your booking is confirmed, your price will not change unless Tanzanian authorities increase park fees or taxes. If this occurs, you may accept the increase or cancel under normal cancellation terms.

8. Itinerary Changes

Travel conditions in Tanzania can be unpredictable. Weather, safety, or park regulations may require itinerary changes. We always aim to maintain the quality and safety of your trip.

If you personally choose to skip services or leave a trip early, refunds cannot be provided.

We are not responsible for disruptions caused by airlines or other third parties.

9. Changing Travel Dates

Date changes must be requested at least 60 days before your tour. New dates must fall within one year. Any extra costs from hotels or airlines must be covered by the client.

10. Cancellation Policy

If you cancel:

USD 100 deposit is non-refundable

10% fee (90+ days)

30% (60–89 days)

60% (30–59 days)

80% (8–29 days)

100% (0–7 days)

Refund transfer fees are deducted. Lodge and airline penalties may increase these fees.

If we cancel your trip, you receive a full refund.

Travel insurance is strongly recommended.

11. Travel Documents and Visas

You are responsible for having a valid passport, visa, and entry documents. We provide general guidance but cannot guarantee entry decisions by immigration authorities.

12. Accommodation

Accommodation is usually shared unless a single supplement is paid. If listed hotels are unavailable, similar alternatives will be offered.

On camping climbs, tents are shared unless a private tent is requested.

13. Fitness and Medical

Climbing Kilimanjaro is physically demanding. You must evaluate your fitness and consult a doctor if unsure.

We may require medical forms and can decline participation if health risks are too high.

Special dietary or medical needs must be shared in advance.

14. Travel Insurance

Insurance is mandatory and must cover medical evacuation and high-altitude trekking up to 6,000 m. Insurance is typically not included in tour prices.

15. Vaccinations

Consult a licensed doctor for vaccination advice. We provide only general guidance.

16. Authority of Guides

Our guides’ decisions regarding safety, pace, and itinerary are final. Clients must follow instructions to ensure group safety.

17. Assumption of Risk

Adventure travel includes inherent risks such as altitude, wildlife, and remote conditions. By booking, you accept these risks.

18. Damage to Property

Clients must pay for any damage they cause to equipment, vehicles, or accommodation.

19. Third-Party Services

We are not liable for airline or hotel performance, as these are independent providers.

20. Personal Expenses

Clients should carry money for tips, drinks, and personal purchases.

21. Gear

Personal climbing gear is not included but can be rented.

22. Luggage and Valuables

We are not responsible for airline luggage delays or lost valuables. A secure storage option is available upon request.

23. Photos and Marketing

Tour photos or videos may be used for marketing unless you request otherwise.

24. Force Majeure

We are not liable for events beyond our control such as extreme weather, natural disasters, or political unrest.

25. Complaints

If you are unhappy with any service, inform your tour manager promptly so we can resolve it.

26. Governing Law

These Terms are governed by the laws of the United Republic of Tanzania.
